Radiologix Goes Paperless with Monarch

Radiologix is a leading national provider of diagnostic imaging services that is affiliated with eight radiology practices across the country and employs more than 2,100 team members. "The company has benefited from report mining with Monarch for nine years," says Kevin Whipp, database analyst for Radiologix and longtime user of Monarch. "Thanks to Monarch, many of our Reimbursement Operations reporting processes can be paperless."

Most of Radologix's use of Monarch pertains to its billing services. "Radiologix handles the reimbursement operations for us and our affiliated radiology practices," Kevin says. "We use a Unix-based billing system, and Monarch easily transforms the text-based reports into useable data in either Access or Excel."

"I created and maintain a library of Monarch model templates for various reports," Kevin explains. "Any of our regional offices across the country can save a report to a central server and based on the file name of that report, the report is converted within seconds to whichever format (Access, CSV text, Excel, fixed-length text, HTML, PDF or XML) that user needs. If the user can rename a file, he or she can use this process to convert any report. No knowledge of Monarch is needed, showing how flawless Monarch works."

Kevin has capitalized on Monarch Pro's feature to mine PDF reports. "One of our claim processing service providers could provide a claim status report in Excel format, but the data was stacked on top of each other, formatted more like a text report than a useful Excel file," Kevin says. "They could not supply us with a text version of the report, but did offer the report in PDF format. We decided to give Monarch Pro a try. The cumbersome 50-page PDF report is now a 10-page, user-friendly Excel file that can be easily reviewed and manipulated on-screen."

Perhaps the most successful Monarch project at Radiologix was Kevin' s time saving effort to use Monarch for the company's month-end financial reporting process. "Prior to Monarch, we had people flipping through multiple reports — as many as 15 boxes of paper — highlighting values for later reference. This exercise was followed by a huge amount of redundant data entry into Excel."

"I worked with our Excel expert in the Finance Department. We went through the month-end billing reports to identify the financial data we needed. I then used Monarch to automatically access this information from the numerous reports and export it to Excel.
